Every client interaction should be captured in your database. This is not just about storing phone numbers — it is about building a complete picture of each client and their properties.
Client details: Name, phone, email, address, how they found you (referral, Google, directory, word of mouth), client type (domestic homeowner, landlord, letting agent, commercial, main contractor), and any preferences or notes (access instructions, pet at property, preferred contact method).
Property records: Many clients, especially landlords and letting agents, have multiple properties. Elec-Mate links properties to clients so you can see all the properties a landlord manages, all the work done at each property, and when each property's certificates are due for renewal.
Referral tracking: When a new client says "John recommended you", record John as the referral source. Over time, you build a picture of which clients generate the most referrals — and those are the relationships worth nurturing. The analytics dashboard shows the total revenue generated from each referral source.
GDPR compliance: Under UK GDPR, you have a legitimate interest in storing client data for the purpose of fulfilling contracts and maintaining safety records (certificates). However, you should still inform clients that you store their data and provide a way for them to request deletion. Elec-Mate handles GDPR consent tracking and data deletion requests.
