Key Takeaways

  • 1All VAT-registered businesses must use MTD-compatible software to submit VAT returns — spreadsheets and manual submissions are no longer accepted. QuickBooks, Xero, and FreeAgent are all HMRC-recognised for MTD.
  • 2QuickBooks is the most widely used accounting platform for small UK businesses, with strong invoicing, expense tracking, and a comprehensive mobile app. Plans start from around £12/month.
  • 3Xero is popular with accountants and offers excellent multi-user access, bank feed integration, and a large app marketplace. It is often recommended by accountancy firms who already use it.
  • 4FreeAgent is designed specifically for freelancers and sole traders, with the simplest interface of the three. It is free with several UK business bank accounts (NatWest, Mettle, Tide).
  • 5The best choice depends on your business structure — sole traders and one-person operations often prefer FreeAgent for its simplicity, while limited companies and growing businesses benefit from the advanced features in QuickBooks or Xero.

Why Electricians Need Dedicated Accounting Software

Many self-employed electricians start out managing their finances with spreadsheets, a folder of receipts, and a quarterly session with their accountant. This approach works when the business is small, but it quickly becomes a liability as the workload grows.

Expense Tracking on the Go

Electricians buy materials from trade counters, wholesalers, and online suppliers daily. Without software, receipts pile up in van glove boxes, pockets, and carrier bags. Accounting software with a mobile app lets you photograph and categorise receipts instantly — fuel, materials, tools, PPE, training, insurance — ensuring nothing is missed and every allowable expense reduces your tax bill.

Invoicing and Cash Flow

Sending professional invoices promptly and tracking payment status is essential for cash flow. Accounting software generates invoices, sends automatic payment reminders, and shows you exactly who owes you money at any time. For electricians who price jobs and invoice on completion, this visibility is critical.

Real-Time Financial Visibility

Knowing your profit, revenue, outstanding invoices, and tax liability at any moment — not just when you sit down with your accountant — lets you make better business decisions. Should you take on that additional apprentice? Can you afford a new van? Is this month's revenue on track? Accounting software answers these questions instantly.

HMRC Compliance

MTD (Making Tax Digital) for VAT is now mandatory for all VAT-registered businesses. MTD for Income Tax Self Assessment (ITSA) is being rolled out from April 2026. Using HMRC-recognised software ensures your submissions are compliant and reduces the risk of errors that could trigger penalties.

Making Tax Digital (MTD) for VAT

Since April 2022, all VAT-registered businesses must keep digital records and submit VAT returns through MTD-compatible software. This means you cannot submit VAT returns directly through the HMRC website — you must use software that connects to HMRC's API.

MTD Requirements for Electricians

  • Digital records — All sales and purchase invoices, receipts, and financial transactions must be recorded digitally, not on paper.
  • Digital links — If you use more than one piece of software (e.g., a quoting app and accounting software), data must flow between them digitally — no manual re-keying of figures.
  • Quarterly submissions — VAT returns are submitted quarterly through the software's MTD connection to HMRC.
  • HMRC-recognised software — The software must be on HMRC's list of recognised providers. QuickBooks, Xero, and FreeAgent are all on this list.

For electricians approaching the VAT threshold (currently £90,000 turnover), getting accounting software set up before you register for VAT is strongly recommended. Trying to reconstruct a year of financial records retrospectively is time-consuming and error-prone.

03 · Business Guide

QuickBooks for Electricians

QuickBooks is the most widely used small business accounting platform in the UK. It offers a comprehensive feature set for sole traders, partnerships, and limited companies at various price points.

QuickBooks Key Features

  • Invoicing — Professional invoice templates, recurring invoices, automatic payment reminders, and online payment links (GoCardless, Stripe, PayPal). Customers can pay invoices directly from the email.
  • Receipt capture — Photograph receipts with the mobile app and QuickBooks automatically extracts the supplier, amount, and VAT. Receipts are stored digitally, eliminating the paper trail.
  • Bank feeds — Connect your business bank account and credit card. Transactions are imported automatically and can be categorised with a few taps. Bank reconciliation takes minutes instead of hours.
  • VAT returns — MTD-compatible VAT return submission directly to HMRC. QuickBooks calculates the VAT automatically from your categorised transactions.
  • Mobile app — Full-featured iOS and Android app for invoicing, expense capture, and financial overview from the van or job site.

Pricing (2026): Simple Start from approximately £12/month, Essentials from £22/month, Plus from £32/month. The Simple Start plan is sufficient for most sole-trader electricians. Essentials adds bill management and multi-user access. Plus adds project tracking and inventory.

Xero for Electricians

Xero is a cloud-based accounting platform that is particularly popular with accountancy firms. If your accountant already uses Xero, this is often the path of least resistance — they can access your accounts directly, which streamlines year-end and tax submissions.

Xero Key Features

  • Unlimited users — All Xero plans include unlimited users (with different permission levels). This is a significant advantage if your accountant, bookkeeper, and business partner all need access.
  • App marketplace — Xero has the largest ecosystem of third-party apps. Integrations with CRM, project management, inventory, time tracking, and payroll tools. Many trade-specific apps connect to Xero.
  • Bank reconciliation — Excellent bank feed integration with machine learning that suggests transaction categories based on previous entries. The more you use it, the more accurate the suggestions become.
  • Multi-currency — If you buy tools or materials from overseas suppliers, Xero handles multi-currency transactions natively. Not essential for most domestic electricians but valuable for those buying specialist equipment.
  • CIS support — Built-in Construction Industry Scheme (CIS) handling for electricians who subcontract work or are subcontracted by main contractors.

Pricing (2026): Starter from approximately £15/month (limited to 20 invoices), Standard from £30/month (unlimited invoices), Premium from £42/month (multi-currency, expenses). Most electricians need the Standard plan for unlimited invoicing.

FreeAgent for Electricians

FreeAgent is designed specifically for freelancers, sole traders, and micro-businesses. Its interface is simpler than QuickBooks or Xero, making it accessible for electricians who are not comfortable with accounting terminology. The standout feature is that FreeAgent is free with several UK business bank accounts.

FreeAgent Key Features

  • Free with partner banks — FreeAgent is free with NatWest, RBS, Mettle, and Tide business accounts. If you already bank with one of these, you get full FreeAgent access at no additional cost.
  • Tax timeline — A visual tax timeline that shows upcoming tax obligations, estimated tax due, and deadlines. This is particularly useful for sole traders managing their own Self Assessment.
  • Simple expense tracking — Straightforward expense entry with receipt photo capture. Categories are pre-set for common business expenses. Mileage tracking for van and vehicle costs.
  • Self Assessment filing — FreeAgent can submit your Self Assessment tax return directly to HMRC. This is a unique feature — QuickBooks and Xero require you to file Self Assessment separately or through your accountant.
  • MTD compatible — Full MTD for VAT compliance with direct HMRC submission.

Pricing (2026): Free with NatWest, Mettle, or Tide business accounts. Without a partner bank account, FreeAgent costs approximately £24/month (sole trader) or £34/month (limited company, includes payroll for one director). The free option with a compatible bank account makes FreeAgent the obvious choice for cost-conscious sole traders.

Feature Comparison: QuickBooks vs Xero vs FreeAgent

Here is a practical comparison of the three platforms based on the features that matter most to electricians:

Best for Sole Traders on a Budget

FreeAgent — Free with NatWest/Mettle/Tide, simplest interface, built-in Self Assessment filing. Ideal for one-person electrical businesses who want minimal accounting complexity.

Best All-Rounder

QuickBooks — Most complete feature set at the entry price point, excellent mobile app, strong receipt capture. Best balance of features, ease of use, and cost for growing electrical businesses.

Best for Working With an Accountant

Xero — Unlimited users, most accountant-friendly, largest app ecosystem. If your accountant recommends Xero, it is usually worth following their advice for the seamless year-end process.

Best for CIS Subcontracting

Xero — Built-in CIS handling is the most comprehensive. QuickBooks also supports CIS. FreeAgent has more limited CIS features. If you regularly subcontract for main contractors, CIS integration is essential.

All three platforms offer free trials — take advantage of these to test the interface and features before committing. The best accounting software is the one you will actually use consistently, so choose the platform that fits your working style.
